Assign ArcGIS Pro licenses in ArcGIS Online

This workflow is for ArcGIS Online organization administrators, including administrators of ArcGIS Trial organizations.

Before you can assign ArcGIS Pro licenses to members of your organization, the following conditions must be met:

You can also assign ArcGIS Pro licenses when you add members to your organization.

Check license and user type availability

Your ArcGIS Online organization members have various user types, such as Viewer and Creator. Your organization may also have ArcGIS Pro add-on licenses available to assign to Creators. Only the Creator and GIS Professional user types can have an ArcGIS Pro license. (GIS Professionals are assigned ArcGIS Pro licenses automatically.)

  1. Sign in to your ArcGIS Online organization.
    Tip:

    You can sign in from the ArcGIS Online website, from your organization’s home page, or from the Sign In page.

  2. At the top of the site, click Organization and click the Licenses tab.
  3. If necessary, click Add-on licenses.

    Under ArcGIS Pro, you see the available add-on licenses for each license level (Basic, Standard, and Advanced). Under the core application licenses, ArcGIS Pro extension licenses are listed.

Assign an ArcGIS Pro add-on license or extension

After you confirm that ArcGIS Pro add-on licenses are available, you can assign them to members with the Creator user type. The steps to assign core product licenses and extension licenses are the same.

  1. If necessary, sign in to your ArcGIS Online organization.
  2. At the top of the site, click Organization and click the Licenses tab.
    Note:

    Only administrators or members with licensing privileges can assign ArcGIS Pro add-on licenses. If you don't see the Licenses tab, it means that you are not authorized to assign licenses. See Find your organization administrator for more information.

  3. Click Add-on licenses if necessary and locate the add-on license type you want to assign; for example, ArcGIS Pro Advanced.
  4. Click Assign.

  5. Optionally, change the setting above the list of members to email members about newly assigned licenses. (The default setting is not to email users.)
  6. Locate the member who will be assigned the license. Click Assign.

    In this example, one member has a user type that is not compatible with an ArcGIS Pro license. Another member can be assigned a license. A third member has been assigned a license.

    The member can now sign in and use ArcGIS Pro on any machine where the application is installed.

  7. Optionally, assign another license. To find a user by name, type their first or last name in the search box at the top of the page.

    Tip:

    When you assign a license, an Undo button appears and allows you to undo the assignment if you made a mistake.

  8. When you're finished assigning licenses, click Close at the bottom of the page.

Assign add-on licenses for multiple products

You may want to assign multiple product licenses, such as licenses for several ArcGIS Pro extensions, to a member.

  1. If necessary, sign in to your ArcGIS Online organization.
  2. At the top of the site, click Organization and click the Members tab.
  3. Locate the member who will be assigned the licenses.
    Tip:

    Use the search, sort, and filter options at the top of the page to help locate members.

  4. At the end of the row with the user's name, click the More options button More options and click Manage add-on licenses.

    Tip:

    You can select multiple members by checking the boxes at the start of the rows of user names. After selecting multiple members, click the Manage add-on licenses button that appears at the top of the page.

  5. In the Manage add-on licenses window, select the options or check the boxes for the licenses you want to assign.

  6. Click Save.

Change user type

You may want to assign an ArcGIS Pro license to a member whose user type is not compatible with the license. In that case, you need to change the member's user type.

  1. If necessary, sign in to your ArcGIS Online organization.
  2. At the top of the site, click Organization and click the Members tab.
  3. Locate the member whose user type you want to change.
    Tip:

    As with other operations, you can use searches, filters, and multiple selections to locate members and change their user types.

  4. In the row with the user's name, in the User type column, click the member's user type, such as Viewer.

  5. Click a user type that is compatible with an ArcGIS Pro license (Creator) or that includes an ArcGIS Pro license (GIS Professional).
  6. Optionally, change the role associated with the user type.
  7. Click Save.
    Note:

    If you change a member's user type to Creator, you also need to assign an ArcGIS Pro add-on license. If you change a member's user type to GIS Professional, an ArcGIS Pro license is assigned automatically.

Unassign a license

You can unassign a member’s ArcGIS Pro license or extensions at any time, as long as the license is not currently authorized for offline use. (For more information, see Authorize ArcGIS Pro to work offline in the help topic Start ArcGIS Pro with a Named User license.) A member whose license is unassigned can no longer use ArcGIS Pro. An unassigned license becomes an available license and can be assigned to another member of the organization.

To change a member's ArcGIS Pro license level—for example, from Standard to Advanced—you don't need to unassign their license. Follow the steps to assign an add-on license of the desired level to the member. When the new license is assigned, the old license is unassigned automatically.

Note:

It is possible for your organization to exceed the number of licenses available, resulting in negative availability. This can happen, for example, if you make changes to your maintenance agreement or if trial licenses expire. If a license expires, you must unassign it so that all members are assigned valid licenses. Until you correct the license assignments, no one in the organization will be able to sign in to authorize ArcGIS Pro or additional products.

  1. If necessary, sign in to your ArcGIS Online organization.
  2. At the top of the site, click Organization and click the Licenses tab.
  3. If necessary, click Add-on licenses. Locate the add-on license type you want to unassign; for example, ArcGIS Pro Advanced.
  4. Click Unassign.

  5. Locate the member whose license you want to unassign and click Unassign.
  6. At the bottom of the page, click Close.

    The member's license is unassigned. When you unassign a member's ArcGIS Pro core product license, any extensions assigned to them are also unassigned.

    Tip:

    You can also unassign a license for a member by locating the member on the Members tab. Click the More options button More options at the end of the row with the user's name and click Manage add-on licenses. On the Manage add-on licenses page, click Deselect to unassign an ArcGIS Pro core product license or uncheck boxes to unassign extensions. Click Save.

End a session

You can end a member’s active ArcGIS Pro session. This may be useful when a member is signed in to ArcGIS Pro on three computers at the same time (the maximum allowed) and needs to sign in on another computer. If the member is unable to sign out on one of the computers—for example, because the member is not physically present—you can end a session. This enables the member to sign in on another computer.

  1. If necessary, sign in to your ArcGIS Online organization.
  2. At the top of the site, click Organization and click the Licenses tab.
  3. If necessary, click Add-on licenses.
  4. Next to ArcGIS Pro, click License activity.

    A window appears with a list of organization members who have ArcGIS Pro licenses. Next to each member's name, a Last Used column shows the date they last used ArcGIS Pro.

    Note:

    A green dot next to the date indicates that the member has used ArcGIS Pro within the last 30 minutes. This usually means that the member has an active session. A red dot next to the date indicates that the member has authorized ArcGIS Pro for offline use.

  5. In the list of members, find the member whose session you want to end. In the Last Used column, click the date.

  6. Click End session for the session you want to end.

  7. On the End session prompt, click OK.

    The session is ended. In ArcGIS Pro, the user soon gets a message that they are no longer connected to a licensing portal. The user has 60 minutes to save their work.

  8. Click the Close button in the upper right corner of the page to return to the Licenses tab.

Disable offline usage

By default, ArcGIS Pro named users can take their licenses offline to use the application in a disconnected environment. This workflow is described in Authorize ArcGIS Pro to work offline. As the organization administrator, you can disable offline usage. This setting is made for the organization as a whole, not for individual members.

  1. If necessary, sign in to your ArcGIS Online organization.
  2. At the top of the site, click Organization and click the Licenses tab.
  3. If necessary, click Add-on licenses.
  4. Under ArcGIS Pro, click Prevent members from taking ArcGIS Pro offline.

Enable Esri access for members

Esri access allows members of the organization to use their ArcGIS Online credentials in sections of Esri websites that require signing in. These include parts of the Esri Support, Esri Training, and GeoNet sites. Esri access is also required for members to sign in to My Esri, the download site for ArcGIS Pro software.

Members cannot enable or disable Esri access for themselves; this option must be set by the ArcGIS Online organization administrator. Esri access can be enabled when a member is invited to join the organization or afterward.

Note:

Esri access does not automatically enable a member to download ArcGIS Pro. If Esri access has been enabled but a Downloads tab does not appear under the My Organizations tab in My Esri, the member needs to click the Request Permissions side tab. Next, under Request Permissions to your Organization, they need to click Continue and complete the form with a request for permission to download software. The request will be sent to the software administrator of your organization (not necessarily the ArcGIS Online organization administrator).

  1. If necessary, sign in to your ArcGIS Online organization.
  2. At the top of the site, click Organization and click the Members tab.

    In the list of members, find the member for whom you want to enable Esri access. At the end of the row with the user's name, click the More options button More options and click Enable Esri Access.

  3. Read the Enabling Esri Access message. If you approve Esri access privileges for the member, click OK.
    Note:

    To disable Esri access for a member, follow the same steps and click Disable Esri Access.
